YOUR MISSION
-
Your mission is to be the right-hand person to the CEO, David, providing critical support and ensuring that our day-to-day operations run smoothly. You will be a key player in helping David stay focused on strategic direction and growth.
1 | EXECUTIVE SUPPORT
As an Executive Assistant, you will provide support in all aspects of David’s day-to-day work
In order to do that, you:
Manage the CEO’s schedule, including calendar management, travel arrangements, and meeting coordination
Assist with email and phone communications, drafting emails and responding to inquiries on behalf of the CEO
Ensure David’s contacts receive a high level of service and create “awe” in every interaction, whether it’s through email or his social media accounts
Proofread contracts and coordinating legal projects with lawyers
Prepare and organize documents, reports, presentations, and other materials
Conduct research and gather information as needed
Take notes during meetings and format them
2 | ORGANIZATION AND COORDINATION
To ensure that the CEO's office runs smoothly and efficiently, you will need to be highly organized and able to multitask effectively
In order to do that, you:
Coordinate travel arrangements for the CEO, including flights, hotel bookings, and ground transportation
Ensure that all meetings are scheduled and confirmed in a timely manner
Track and manage the CEO's expenses and reimbursements
Ensure that all paperwork and other administrative tasks are completed on time and accurately
Find and negotiate with top tier service providers, suppliers, partners
Manage David’s day-to-day personal administration, including: management of leases, visa applications and renewals, payment of service charges, depositing cheques, negotiations of rental agreements
Manage other personal errands, including: arranging dinners/lunches, selecting gifts for team members and personal relationships, depositing cheques, being the point of contact for banking and other critical relationships
3 | PROACTIVE AND STRATEGIC THINKING
As a growing company, we are always looking for ways to improve processes and enhance productivity, and as the Executive Assistant to the CEO, you will be a key player in this effort
In order to do that, you:
Constantly assess the CEO's daily tasks and identify areas where processes can be streamlined, and efficiency can be enhanced
Stay up-to-date with industry trends and best practices
Identify potential issues and provide solutions in a timely manner
Support the team in documenting and improving internal processes
Maintain a positive and proactive attitude to support the CEO in achieving their goals
4 | TEAMWORK AND COLLABORATION
To support the CEO effectively, you will need to work closely with other members of the senior leadership team and other departments within the organization
In order to do that, you:
Collaborate with other members of the senior leadership team to ensure that the CEO's priorities are aligned with the organization's overall goals and objectives
Work closely with other departments to ensure that the CEO's office is integrated with the rest of the organization
Provide support and assistance to other members of the team as needed
Support and monitor completion of internal projects
5 | OTHER COOL PROJECTS
As our company continues to grow, there will be many exciting projects and initiatives that will require your support and expertise
In order to do that, we might work together on:
Supporting the organization of company events and initiatives
Supporting the CEO in public speaking engagements and interviews
Assisting with special projects and initiatives as assigned by the CEO

Personality:
Analytical Mind: You are able to process and analyze complex information quickly, extracting key insights and presenting them in a clear and concise manner, to help the CEO make informed decisions.
Growth over Ego: You give and receive honest feedback on a continual basis, at all levels of the team, including leadership.
Discretion: You understand the importance of discretion and confidentiality, and can handle sensitive information with professionalism and tact.
Experience:
You demonstrate strong project management skills.
You have significant work experience in fast paced environments.
You have 3+ years of experience supporting C-Suite.
Language
French: native or bilingual.
English: fluent. You can hold a conversation on specific details with English-speaking colleagues. Our chosen language for written communication is English. Currently, 10% of the team is English-speaking, a % which will continue to grow.

Our recruitment process is tailored to do our best to avoid that you or us realize that we’re not a perfect fit in two or six months. It might seem long, but every step serves a purpose and will allow us to get to know you better as much as it’ll help you understand more where you’ll be stepping in.
We also want you to have time to ask all of your questions regarding your job description, the long-term vision of your team and the company, our values, with the relevant interlocutor in front of you.
